Who is responsible for making sure there is no sensitive data left on an MFP?

At Dahill we support our customers initiative that each customer is responsible and must make their own decisions regarding MFP hard drive data security, data privacy and how to handle compliance with internal as well as state or federal regulations.

 

Hard Disk Drive image overwrite and/or encryption may not be installed or enabled by default at manufacturing and is not configured as part of a standard installation. 

 

Each customer’s environment and processes are unique as they relate to risk.  Risk management must be assessed and established internally by each customer.  Dahill cannot assess the confidentiality or regulatory compliance of a customer’s data. However, we can offer both active-life and end-of-life/end-of-lease security options for MFP technology that will assist customers in meeting compliance initiatives.

 

Dahill strongly encourages customers with regulatory requirements for data confidentiality to follow one of the three data removal and disposal options below.  Customers must take ACTION to ensure security features are configured or executed.

What happens to equipment that is returned at end-of-lease or that is traded-in?

 

Most MFPs are leased from a third-party leasing company. If an MFP is returned to the third-party leasing company, the leasing company will typically wholesale the MFP depending on its condition, or otherwise dispose of it.

 

Like Leasing companies, if an MFP is returned to Dahill, depending on condition of the asset, Dahill may recycle the unit, refurbish it for resale, wholesale it, or use it for parts.

 

Dahill offers data removal and disposal options upon the MFP is surrendered, in which you as the customer may elect any or none of three options. The selection decision for hard drive security options at end-of-lease or trade-in are unique to each of our customers depending on its internal, as well as state and federal industry regulations for security, data privacy and compliance.

What data removal and disposal options are available for MFP hard drives at end-of-lease or end-of-life?

 

Dahill offers various options for data removal and disposal for end-of-lease or end-of-life MFPs:

 

Option 1 :

The hard drive plates are ‘shredded’ into pieces that are too small to recover usage data. This eliminates the possibility of forensic recovery with any known technology. The hard drive is shredded at an offsite facility. An official certificate of data destruction will be furnished to the customer, which will satisfy any state and federal data security regulations for any industry. Dahill can facilitate the replacement of the hard disk drive with a new one for return to the leasing party at the end-of-lease.

 

 

Option 2:

A certified technician will physically remove the hard drive and hand it to the customer for disposal or storage. This service can be performed on –site or off-site.  If performed off-site, the HDD will be shipped via a certified delivery method. Shipment and receipt verification will be provided. Dahill can facilitate the replacement of the hard disk drive with a new one for return to the leasing party at the end-of-lease

What are the costs associated with each of the two data removal and disposal options?

 

Option 1: Crushing of the Hard Drive

Cost per MFP with one hard drive - $295 with upgrade
For each additional hard drive in the MFP - $150 with upgrade

Option 2: Hard Drive Return
Cost per MFP with one hard drive  - $495 with upgrade
For each additional hard drive in the MFP - $200 with upgrade

When does the customer need to inform Dahill how they would like to handle hard drive removal and disposal?

 

The customer must notify Dahill of their decision regarding their HDD strategy no less than 30 days prior to return of any MFPs.

 

If notice is provided less than 30 days prior to return, the only option available to the customer is that Customer takes full responsibility of Data Security and release Dahill and its’ partners and affiliates from any liability.
